Proffing LLC (“Proffing,” “we,” “us,” or “our”) operates the platform at proffing.com. This Privacy Policy explains what personal data we collect, why we collect it, how we use and share it, and what rights you have — including rights under the EU General Data Protection Regulation (GDPR).

1. Information We Collect

Information you provide

  • Account credentials (email address, hashed password)
  • Instructor profile data: full name, current position, location, bio, academic disciplines, teaching experience, CV/resume file
  • School/hiring profile data: organization or individual name, department, location, website
  • Teaching opportunities you post: title, description, discipline, location, expiration date
  • Applications you submit: cover message and any attachments
  • Bookmarks you save

Information collected automatically

  • Log data: IP address, browser type, pages visited, timestamps
  • Cookies and similar tracking technologies — including cookies set by Google Analytics to help us understand how visitors use the site. See Section 5 for cookie details and your opt-out options.

2. How We Use Your Information

  • To create and manage your account
  • To display instructor profiles to schools and hiring individuals seeking speakers or instructors
  • To display teaching opportunities to instructors
  • To facilitate applications and communicate between parties
  • To verify school and hiring profiles
  • To send transactional emails (account confirmation, application notifications)
  • To analyze and improve the platform (via Google Analytics)
  • To comply with legal obligations

Lawful basis (GDPR): We process your data on the basis of contract performance (to provide the service you signed up for), legitimate interests (platform analytics and security), and, where required, your consent (e.g., non-essential cookies).


3. How We Share Your Information

We do not sell your personal data. We share it only in these circumstances:

  • With other users: Public instructor profiles are visible to verified school/hiring accounts. Your email address is shared with a school only when you apply to one of their opportunities, and only for the purpose of that application.
  • Service providers: We use Supabase (database and authentication, hosted on AWS) and Google Analytics (usage analytics). These providers process data on our behalf under their own data processing agreements.
  • Legal requirements: We may disclose information if required by law or to protect the rights and safety of Proffing or its users.

4. Data Retention

We retain your data for as long as your account is active. When you delete your profile, your personal data is permanently removed from our database. Residual copies in backups are purged on a rolling basis (typically within 30 days). Anonymized or aggregated analytics data may be retained indefinitely.


5. Cookies

We use the following types of cookies:

  • Strictly necessary: Authentication session cookies required to keep you logged in. These cannot be disabled.
  • Analytics (Google Analytics): Used to measure traffic and usage patterns. If you are located in the EU/EEA, we will request your consent before activating these cookies.

You can opt out of Google Analytics tracking at any time via Google’s opt-out browser add-on.


6. International Transfers

Proffing LLC is based in Maryland, USA. Your data is stored on servers operated by Supabase/AWS, which may be located in the United States. If you are located in the EU/EEA, please be aware that US data protection laws may differ from those in your country. We rely on standard contractual clauses and Supabase’s data processing agreement to safeguard transfers.


7. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Correct inaccurate data — you can do this directly via your profile settings.
  • Erasure: Delete your account and all associated data at any time from your dashboard.
  • Portability: Request an export of your data in a machine-readable format.
  • Restriction / Objection: Ask us to stop or limit processing your data in certain circumstances.
  • Withdraw consent: Where we rely on consent (e.g., analytics cookies), you may withdraw it at any time.

To exercise any of these rights, email david@proffing.com. We will respond within 30 days (or within the timeframe required by applicable law). EU/EEA users also have the right to lodge a complaint with their local supervisory authority.


8. Children

Proffing is intended for adults in professional or academic roles. We do not knowingly collect data from anyone under the age of 18.


9. Changes to This Policy

We may update this policy from time to time. We will notify registered users by email and update the effective date above. Continued use of the platform after changes constitutes acceptance of the revised policy.
